Vehicle intake software for auto repair shops

Check in every car in minutes. Keep every customer in the loop.

Flyintake turns the phone in your pocket into a complete service-drive check-in. Scan the VIN, snap four-corner photos, talk through the concern, and text the customer an update without going back to the counter.

  • Works in any phone browser
  • Nothing to install
  • Files saved to your Google Drive

Why Flyintake

Customers decide whether to trust you at the front counter.

Clipboards, blurry photos on someone's personal phone, and "I'll call you when we know more" don't match the shop you've built. Flyintake gives every vehicle the same organised check-in, every time.

  • Settle "that scratch was already there." Time-stamped photos of all four corners are stored with each vehicle.
  • Stop retyping VINs. Scan the barcode and Flyintake fills in the year, make and model.
  • Cut down on "is my car ready?" calls. Text updates go out from the intake screen, and each message is logged.
  • Find the paperwork later. Bills, receipts and attachments are filed in one folder per vehicle.
Everything at check-in

One screen for the whole intake

Every tool your service advisors and techs need to check a car in, document it and keep the customer updated.

VIN scan and decode

Point the camera at the door-jamb barcode, photograph the label, or read the VIN aloud. The make, model and year come back from the NHTSA VIN database.

Four-corner condition photos

A guided, full-screen camera captures the front-left, front-right, rear-left and rear-right of the car. Retakes keep the earlier photo.

Voice-to-work-order

Record the customer's concern or the tech's diagnosis. AI writes the transcript and an editable work-order draft for you to review.

Bills, receipts and attachments

Attach parts invoices, estimates, receipts and documents to the vehicle as the job moves along.

Text and email updates

Send repair updates by text or email from the intake screen. Messages go through Pingram, and you can set a shop SMS sender. Replies stay in the customer inbox. Customers can reply STOP to opt out of texts.

Google review requests

When a repair is marked Delivered, send a Google review request through a short link, or turn on an automatic text for customers who agreed to texts. Each repair and destination gets at most one automatic request.

Customer check-in screen

Hand the tablet to the customer. A full-screen view with large keys lets them enter their name, phone, email and texting consent.

A Google Drive folder per vehicle

Photos, bills and audio sync to the shop owner's Google Drive in one folder per vehicle, named with the year, make, model, owner and VIN.

Teams and multiple locations

Invite advisors and techs with Google sign-in and give each person an owner, admin or staff role. If you run more than one shop, every location's records stay separate.

How it works

From the parking lot to "your car is ready"

A typical check-in takes a couple of minutes, and every change saves as you type.

Scan the VIN

Open a new intake on any phone, scan the barcode and confirm the decoded vehicle and odometer reading.

Walk the car

Capture all four corners, then let the customer enter their contact details and texting consent on the check-in screen.

Record the concern

Talk through what the customer told you. Flyintake drafts the work order, and your team adds bills and receipts as the job progresses.

Keep them posted

Move the job on the board through Intake, Waiting for Insurance, Waiting on parts, Ready and Delivered. When the stage changes, send a text or email. At Delivered, ask for a review.

Customer communication

Customers stay informed without phoning the shop.

Customers mostly want to know what's happening with their car. Flyintake puts the updates in their text messages and gives them a page to check (coming soon).

  • Texts and email through Pingram. Send from the intake screen. Set a shop SMS sender when you want one. Customers opt in at check-in and can reply STOP to opt out of texts.
  • Replies stay with the repair. Incoming texts and emails show up in the customer inbox, on that job.
  • Reviews when the job is Delivered. Send your Google review link, or turn on an automatic text for customers who agreed. Live
  • Repair status page. The welcome message includes a private link. The page shows your shop, the vehicle's year, make and model, and the current stage. Live

Built for the shop you're building

Clean bays, clear records and fewer surprises.

The best independent shops run like a dealership service lane and still feel personal. Flyintake brings the dealership-level process to your shop without the dealership software bill or a week of training.

  • Mobile-first. Designed for a phone in one hand at the side of a car.
  • Work is saved as you go. Every field autosaves. If two techs edit the same job, Flyintake shows the conflict so nobody overwrites the other.
  • Your records stay with you. Originals live in your shop's account, with copies in your own Google Drive.
On the roadmap

What's coming next

Early-access shops help decide what we build next. Here's what we're working on.

Photos and a date on the status page Next

The status page is live today with your shop, the vehicle and the current stage. Next is photos you choose to share, an expected completion date, and links that can expire.

Automatic status messages Planned

Changing the stage already opens a text or email you can send. Templates that go out on their own, for check-in, approval and ready for pickup, are still planned.

Repair videos for customers Planned

Record a short video of the worn part or the finished job, add a caption, and choose whether to publish it to the customer's status page.

Live voice transcription Planned

A full-screen recorder that shows words as you speak and learns your shop's vocabulary, from makes and models to calipers, control arms and diagnostic codes.

FAQ

Questions shop owners ask

Do my techs need to install an app?

No. Flyintake runs in the browser on iPhone, Android, iPad and desktop. Open app.flyintake.com and sign in with Google.

Does it replace my shop management system?

Flyintake handles intake, documentation and customer updates. It works alongside your existing estimating, parts and invoicing software.

Where are my photos and documents stored?

Originals are stored in your shop's Flyintake account and copied to the shop owner's Google Drive, with one folder per vehicle under FLYINTAKE_VEHICLES. Flyintake asks only for access to the files it creates in your Drive.

How does VIN scanning work?

Point your phone camera at the VIN barcode on the door jamb or registration, photograph the label, or read the VIN aloud. Flyintake looks up the year, make and model in the public NHTSA database. You can also type the VIN.

How do the AI work orders work?

Record or upload a voice note. Flyintake saves the audio first, then creates a transcript and a draft work order that you can edit. Always review the draft before authorising repairs.

Can I text customers from my own number?

Texts and email go through Pingram. You can set a dedicated SMS sender for the shop. Customers agree to texts at check-in and can reply STOP to opt out. Replies and delivery status stay in that repair's inbox.

Can I run more than one location?

Yes. Each shop has its own owner, team, records and texting settings. People who work at more than one location can switch shops from the header.
